Booking & Cancellation Policy

Thank you for considering Great Lakes Mobile Cigars for your event. This Booking & Cancellation Policy explains how private event bookings, deposits, payments, cancellations, rescheduling, weather issues, and event requirements are handled.

Please read this policy carefully before booking an event.

1. Adults 21+ Only

Great Lakes Mobile Cigars provides cigar-related event services intended only for adults who are 21 years of age or older.

All cigar-related purchases, services, participation, and use are limited to adults age 21 or older. Valid government-issued photo identification may be required at any event where cigars are sold, distributed, served, or enjoyed.

We reserve the right to refuse service to anyone who cannot provide valid identification, appears underage, attempts to provide cigars or tobacco products to a minor, violates event rules, or does not comply with applicable law.

2. Booking Requests

Submitting a booking request does not guarantee availability or confirm your event.

A booking is not confirmed until:

  • We have reviewed and accepted the event request
  • The event date, time, location, and package details are confirmed
  • Any required deposit or payment has been received
  • Any required invoice, agreement, or written confirmation has been completed

Dates are reserved on a first-confirmed, first-booked basis.

3. Event Packages and Services

Event packages may include cigar trailer attendance, cigar service, cigar selections, staff time, travel, setup, display items, and other services depending on the package selected.

Package details, cigar selections, availability, pricing, and service options may vary based on event date, event location, event size, event type, inventory, staffing, venue requirements, and applicable rules.

If a specific cigar or product is unavailable, we may offer a comparable replacement or adjustment.

4. Deposits

A deposit may be required to reserve your event date.

Unless otherwise stated in writing, deposits are applied toward the total event balance. Deposits help cover planning, scheduling, administrative time, reserved availability, staffing preparation, and lost opportunity for other bookings.

Unless otherwise stated in writing, deposits are non-refundable once the event is confirmed.

5. Final Payment

Unless otherwise stated on your invoice or written agreement, the final balance is due 14 days before the event date.

If final payment is not received by the due date, Great Lakes Mobile Cigars may cancel the booking, release the event date, and retain any non-refundable deposit or fees already paid.

For events booked less than 14 days before the event date, full payment may be required at the time of booking.

6. Customer Cancellations

If you need to cancel your event, please contact us in writing as soon as possible.

Unless otherwise stated in your invoice, agreement, or written confirmation, customer cancellations are handled as follows:

  • 30 or more days before the event: Deposit is non-refundable, but any amount paid above the deposit may be refunded or applied as credit toward a future event, at our discretion.
  • 14 to 29 days before the event: Deposit is non-refundable. Up to 50% of additional payments may be eligible for credit toward a future event, at our discretion.
  • Less than 14 days before the event: Payments are generally non-refundable because staffing, scheduling, inventory, and event preparation may already be committed.
  • Same-day cancellation or no-show: No refund will be issued.

We may consider exceptions on a case-by-case basis, but exceptions are not guaranteed.

7. Rescheduling

We understand that event plans sometimes change. If you need to reschedule, please contact us as soon as possible.

Rescheduling is subject to availability and must be approved by Great Lakes Mobile Cigars.

If a new date is available, we may allow your deposit or payment to be transferred to the new date. Additional fees may apply if the new date, location, package, staffing requirements, travel requirements, or event details change.

Rescheduling requests made less than 14 days before the event may be treated as a cancellation unless otherwise approved in writing.

8. Weather

Because Great Lakes Mobile Cigars is a mobile event service, weather may affect setup, service, safety, travel, and guest experience.

Weather-related decisions are made based on safety, venue conditions, accessibility, wind, storms, lightning, extreme temperatures, road conditions, and other relevant factors.

Light rain or normal seasonal weather does not automatically qualify for cancellation or refund.

If unsafe weather or conditions prevent service, we will work with you to determine a reasonable solution, which may include:

  • Adjusted setup location
  • Delayed start time
  • Modified service
  • Rescheduling, if available
  • Credit toward a future event, at our discretion

Refunds are not guaranteed for weather-related changes unless specifically stated in writing.

9. Venue Requirements and Smoking Rules

The customer is responsible for confirming that the event venue allows cigar-related services, cigar smoking, mobile trailer placement, vendor setup, and any other services being requested.

Some venues, municipalities, parks, public event spaces, private properties, or indoor/outdoor areas may have rules that restrict or prohibit smoking, tobacco use, mobile vendors, trailers, open flames, sales, or certain types of service.

Before the event, the customer should confirm:

  • Smoking is permitted in the planned service area
  • The trailer or setup area is approved by the venue
  • Vendor access is allowed
  • Any permits or approvals have been obtained
  • The setup location is safe and accessible
  • Any venue rules are communicated to Great Lakes Mobile Cigars

If we arrive and are unable to provide services due to venue restrictions, smoking rules, lack of approval, unsafe setup conditions, or missing permissions, payments may not be refundable.

10. Permits, Licenses, and Event Approvals

The customer is responsible for obtaining any venue approvals, event permissions, permits, or authorizations required for the event unless otherwise agreed in writing.

Great Lakes Mobile Cigars will maintain required business-related licenses or permits applicable to our services, but the customer remains responsible for event-specific venue permissions, property access, and host approvals.

For public events, festivals, markets, or municipal events, additional requirements may apply.

11. Setup Access and Space Requirements

The customer must provide safe and reasonable access for setup, operation, and departure.

This may include:

  • A level setup area
  • Adequate space for the trailer or service area
  • Safe entry and exit access
  • Clear parking or vendor access
  • Permission for trailer placement, if applicable
  • Access to electricity, if required and agreed upon
  • Reasonable protection from unsafe conditions
  • Clear communication with venue staff or event coordinators

If the event site is not accessible, safe, or suitable for the booked service, we may need to modify service or decline setup. Refunds are not guaranteed when service cannot be completed due to site conditions outside our control.

12. Travel and Service Area

Great Lakes Mobile Cigars primarily serves Central Michigan and surrounding areas.

Travel fees may apply based on event location, distance, travel time, fuel costs, parking, lodging, tolls, or other travel-related expenses.

Travel fees, if any, will be included in your quote, invoice, or booking confirmation whenever possible.

13. Event Time and Overtime

Your booking includes the service time listed in your quote, invoice, or written confirmation.

Additional time may be available upon request and subject to staff availability, venue rules, and additional charges.

If the event runs late, starts late, or service is delayed due to circumstances outside our control, the original booked end time may still apply unless additional time is approved and paid for.

14. Guest Conduct

The customer is responsible for the conduct of their guests.

Great Lakes Mobile Cigars may refuse service to any guest who:

  • Is under 21
  • Cannot provide valid identification
  • Appears intoxicated or impaired
  • Acts aggressively or disrespectfully
  • Attempts to provide tobacco products to a minor
  • Violates venue rules or applicable law
  • Creates an unsafe or disruptive situation

We reserve the right to stop service, leave the event, or remove access to cigar-related services if guest behavior creates safety, legal, or service concerns. Refunds will not be issued in these situations.

15. Alcohol and Other Vendors

If alcohol is served at the event, the customer and venue are responsible for all alcohol-related rules, permits, service, and guest conduct.

Great Lakes Mobile Cigars does not assume responsibility for alcohol service or the actions of other vendors.

If another vendor, venue rule, or event condition interferes with our ability to safely or legally provide service, we may modify or stop service as needed.

16. Outside Cigars and Products

Unless otherwise approved in writing, cigar products provided as part of a Great Lakes Mobile Cigars package must be supplied by Great Lakes Mobile Cigars.

Outside cigars, tobacco products, accessories, or consumables may not be included in our service unless approved in advance.

We are not responsible for the quality, condition, legality, storage, safety, or guest experience related to outside products.

17. Product Availability

Cigar selections and products are subject to availability.

If a specific cigar, brand, size, package, or accessory is unavailable, we may provide a comparable substitute or work with you on an appropriate adjustment.

Substitutions do not automatically qualify for cancellation or refund.

18. Cancellation by Great Lakes Mobile Cigars

Great Lakes Mobile Cigars may cancel, reschedule, modify, or decline service due to circumstances including, but not limited to:

  • Unsafe weather
  • Unsafe road conditions
  • Vehicle or trailer issues
  • Illness or staffing emergency
  • Venue restrictions
  • Legal or permit issues
  • Lack of age compliance
  • Unsafe guest behavior
  • Inaccessible setup location
  • Emergency situations
  • Circumstances beyond our control

If we cancel due to an issue within our control and no service is provided, we will work with you on a reasonable solution, which may include rescheduling, credit, partial refund, or full refund depending on the situation.

If service cannot be provided because of customer, venue, guest, legal, access, weather, or event-site issues outside our control, refunds are not guaranteed.

19. Force Majeure

Great Lakes Mobile Cigars is not responsible for failure or delay in providing services due to circumstances beyond our reasonable control, including severe weather, natural disasters, power outages, road closures, government restrictions, emergencies, acts of God, public health concerns, labor disruptions, supply shortages, accidents, or other events outside our control.

In these situations, we will make reasonable efforts to communicate with the customer and determine a fair solution.

20. Photos and Promotional Use

Great Lakes Mobile Cigars may take photos or videos of our trailer, display, staff, setup, and general event environment for promotional use, unless otherwise agreed in writing.

We will make reasonable efforts to avoid using close-up images of guests in a way that would be inappropriate or unwanted. If you have concerns about photos or video at your event, please let us know before the event.

21. Changes to Event Details

Please notify us as soon as possible if your event date, time, location, guest count, venue, package, or other details change.

Changes may affect availability, pricing, staffing, travel fees, setup requirements, product needs, and service options.

We cannot guarantee that all changes can be accommodated.

22. Policy Relationship to Other Policies

This Booking & Cancellation Policy applies to private event bookings, event packages, deposits, cancellations, and rescheduling.

Online store purchases are also subject to our Refund & Returns Policy and Shipping Policy.

Use of our website is also subject to our Terms & Conditions and Privacy Policy.
